Terms & Conditions Agreement

By booking an exhibitor space, agreeing to a manual booking, accepting a complimentary exhibitor space, registering to attend one of our events, or submitting a venue enquiry, you agree to the Terms & Conditions outlined below. Please read them carefully before making or agreeing to a booking.

1. Who We Are

We organise wedding fayres and exhibition events across the UK.

2. Definitions
“Exhibitor” – A supplier or business that books, agrees to book, or accepts a complimentary space at one of our wedding fayres.
“Guest/Attendee” – A member of the public attending a fayre.
“Venue” – The location hosting the event.
“Event/Fayre” – The wedding fayre taking place on the specified date.
“Organiser/We/Us” – Spire Wedding Fayres.
“Manual Booking” – A booking created by Spire Wedding Fayres on behalf of an exhibitor following their agreement to attend, rather than being booked directly through our website.
“Complimentary Stand” – An exhibitor space provided without a stand fee where this forms part of an arrangement between Spire Wedding Fayres and the host venue, including spaces allocated to certain venue-contracted or venue-appointed suppliers.

3. Booking & Payment
3.1 Online Exhibitor Bookings
•    Exhibitor spaces may be booked through our website using the Wix booking system.
•    Payment is required in full at the time of an online booking unless otherwise agreed by us.
•    An online booking is considered confirmed once payment has been received and a confirmation email        has been issued.
•    We reserve the right to accept or refuse any booking.

3.2 Manual Exhibitor Bookings
From time to time, Spire Wedding Fayres may manually create a booking for an exhibitor, for example following an agreement by email, message, telephone or direct conversation.
Where an exhibitor has agreed to attend an event and Spire Wedding Fayres creates or confirms a booking on their behalf, this constitutes a booking and the exhibitor is responsible for payment of the applicable stand fee.

• Payment must be made by the due date stated on the invoice, payment request or booking confirmation.

• Failure to make payment does not automatically cancel the booking or remove the exhibitor's responsibility for the outstanding fee.

• If an exhibitor no longer wishes to attend, they must notify Spire Wedding Fayres directly. The cancellation terms contained within Section 6 will then apply.

• Where payment remains outstanding, we reserve the right to cancel the booking, release the space to another supplier and/or refuse future bookings.

• Releasing or reselling an unpaid space does not automatically waive any outstanding amount already due unless Spire Wedding Fayres confirms this in writing.

3.3 Complimentary Stands for Venue-Contracted Suppliers
Some host venues have contracted, appointed or preferred suppliers who may be offered a complimentary exhibitor stand as part of the agreement between Spire Wedding Fayres and the venue.
Eligibility for a complimentary stand is determined by the agreement in place with the individual venue and does not automatically apply to every supplier associated with, recommended by, or previously used by that venue.

• A complimentary stand must still be booked, confirmed or accepted in advance with Spire Wedding Fayres. Suppliers must not attend an event or assume that a space has been reserved for them solely because they have a relationship or contract with the venue.

• Complimentary exhibitors are subject to the same Terms & Conditions, exhibitor requirements, set-up and breakdown times, conduct requirements, insurance requirements, stand-sharing restrictions and event procedures as paying exhibitors.

• A complimentary stand is provided to the specific business for which it was offered and cannot be transferred, shared, sold or passed to another business or individual.

• Where a venue-contracted supplier is unable to attend, they must notify Spire Wedding Fayres as soon as reasonably possible. The complimentary space cannot be passed to another supplier without our prior approval.

• The provision of a complimentary stand does not guarantee a particular stand position, size or location unless specifically agreed in writing.

• Complimentary stands have no cash value and cannot be exchanged for credit, payment, another event or any other benefit.

Where complimentary spaces are limited, allocation remains at the discretion of Spire Wedding Fayres in accordance with the agreement held with the venue.

3.4 Guest Registration
•    Registration to attend our wedding fayres is free unless otherwise stated.
•    Attendees must provide accurate details when registering.

3.5 Venue Enquiries
•    A venue enquiry does not constitute a contract.
•    Any agreement to host a fayre will be confirmed separately in writing.

4. Exhibitor Requirements, Respect & Conduct
By booking, agreeing to exhibit, or accepting a complimentary stand with us, exhibitors agree to:
•    Operate a legitimate business and hold appropriate Public Liability Insurance, providing evidence upon request.
•    Arrive within the designated exhibitor set-up period and ensure their stand is fully set up by the time stated within the final event information.
•    Remain set up and trading until the official event closing time. Packing away early is not permitted unless specifically authorised by a member of the Spire Wedding Fayres team.
•    Contact Spire Wedding Fayres as soon as possible if they are delayed or experience an issue which may affect their attendance.
•    Ensure displays remain within the allocated space and do not obstruct walkways, emergency exits or neighbouring stands.
•    Comply with all venue health and safety requirements.
•    Only promote the business, goods and/or services declared and agreed as part of their booking.
•    Use safe, stable and compliant electrical equipment, including PAT-tested equipment where required.
•    Treat visitors, venue staff, fellow exhibitors and members of the Spire Wedding Fayres team with courtesy, professionalism and respect.
•    Refrain from behaviour that is abusive, intimidating, aggressive, discriminatory, disruptive or otherwise reasonably considered inappropriate for a professional event.
•    Raise any concern, complaint or issue arising during the event directly with a member of the Spire Wedding Fayres team as soon as reasonably possible, so that we have the opportunity to investigate and, where possible, resolve the matter at the time.
•    Refrain from deliberately creating conflict, spreading malicious or knowingly false information, or making disparaging comments about Spire Wedding Fayres, the venue, its staff or other exhibitors to other suppliers during the event instead of raising the issue directly with us.
We welcome genuine feedback and complaints. Nothing within these Terms & Conditions is intended to prevent an exhibitor from raising a legitimate concern or providing an honest account of their experience. We simply ask that issues arising during an event are brought to our attention as soon as reasonably possible so we have an opportunity to address them.
Spire Wedding Fayres reserves the right to intervene where an exhibitor's behaviour is affecting visitors, other exhibitors, venue staff or the professional running of the event.
Where we reasonably consider an exhibitor's behaviour to be sufficiently serious, disruptive, abusive, threatening or otherwise inappropriate, we reserve the right to require the behaviour to stop and/or require the exhibitor to leave the event.
Where an exhibitor is removed due to their conduct or breach of these Terms & Conditions, no refund will be provided.
Serious or repeated breaches may also result in future booking restrictions in accordance with Section 10.

5. What's Included for Exhibitors
Depending on the event and booking type, an exhibitor booking may include:
•    A stand, table or allocated exhibition space as described within the booking.
•    Pre-event information, communication and support.
•    Promotional opportunities through Spire Wedding Fayres' marketing channels where available and appropriate.
•    Access to exhibitor support or communication groups where applicable.
•    Complimentary refreshments where provided by the venue.
•    Opportunities to book future Spire Wedding Fayres events.
Social media posts, tags, shares or other individual promotional activity are not guaranteed as part of a standard or complimentary exhibitor booking unless specifically stated within the package or agreement.
Additional services such as event photography, content creation, enhanced promotion, sponsorship or other opportunities may be available at selected events or within specific packages.

6. Cancellations, Non-Attendance, Transfers & Refunds
6.1 Exhibitor Cancellation Policy
By confirming or agreeing to an exhibitor space at one of our wedding fayres, you are committing to attend and exhibit on the agreed date.
All paid exhibitor bookings are non-refundable.
Your space is reserved for your business from the point your booking is accepted or agreed. We carefully manage the number and mix of suppliers attending each event and may turn away other businesses once sufficient suppliers within a particular category have been booked.
If you are unable to attend for any reason, you must notify Spire Wedding Fayres as soon as reasonably possible by email or by direct contact with a member of the Spire team.
Cancellation does not remove any outstanding payment obligation. Where a booking has not yet been paid in full, any amount due under the agreed booking remains payable unless Spire Wedding Fayres confirms otherwise in writing.
Your booking fee remains non-refundable regardless of the reason for cancellation or whether Spire Wedding Fayres subsequently manages to refill or resell the space.
Failure to attend does not automatically entitle the exhibitor to a refund, credit or transfer.

6.2 Late Cancellations & No-Shows
We understand that genuine emergencies, illness and unexpected circumstances can happen. We ask all exhibitors, including complimentary exhibitors, to communicate with us as soon as they become aware that they may be unable to attend.
An exhibitor may be considered a no-show where they fail to attend the event and have not made reasonable efforts to notify Spire Wedding Fayres before the event.
If we have to contact an exhibitor on the day of the event to establish whether they intend to attend, this may also be treated as a failure to provide reasonable notice.
Where an exhibitor fails to attend without reasonable notice or communication, this may result in future booking restrictions in accordance with Section 10.
Any decision will take into account the individual circumstances, communication received and the exhibitor's previous booking history.

6.3 Changes to Business, Services or Supplier Category
Exhibitor spaces are accepted based on the business, services and supplier category declared at the time of booking.
If, after booking, you cease trading, change your business, stop offering the service under which you originally booked, substantially change the services you provide, or wish to attend under a different business name or supplier category, you must inform Spire Wedding Fayres as soon as reasonably possible.
A booking cannot automatically be transferred to another business, individual, service or supplier category.
Any proposed change must be approved by Spire Wedding Fayres in advance and will be subject to availability, category balance and suitability for the event.
Where the originally booked service is no longer being offered and an alternative cannot be approved, this will be treated as an exhibitor cancellation and any original booking fee will remain non-refundable.

6.4 Transfers
Transfers to another Spire Wedding Fayres event are not an automatic entitlement and are not guaranteed.
In exceptional circumstances, we may agree to transfer a paid booking to another event at our sole discretion, subject to availability and category balance.
A previous transfer, credit, goodwill gesture or exception does not create an entitlement to the same arrangement for any current or future booking.
Transfer requests must be made directly to Spire Wedding Fayres and must be approved by us in writing.
Until written approval of a transfer has been received, the original booking remains in place and these Terms & Conditions continue to apply.
Complimentary stands provided through a venue agreement cannot be transferred to another event unless specifically agreed by Spire Wedding Fayres.

6.5 Event Cancellation by the Organiser
If Spire Wedding Fayres has to cancel an event due to unforeseen circumstances, including venue issues, severe weather, safety concerns, illness or other significant operational reasons, we will:
•    Offer to transfer a paid exhibitor's booking to another suitable date or venue; or
•    Offer a refund where a suitable transfer cannot be provided.
Complimentary stands have no monetary value and therefore no refund will be payable in respect of a complimentary stand if an event is cancelled.
Spire Wedding Fayres is not responsible for additional costs incurred by exhibitors in connection with the event, including travel, accommodation, printing, staffing, loss of earnings, parking charges, parking fines or Penalty Charge Notices.
Exhibitors remain responsible for checking and complying with any parking requirements, restrictions, registration systems, payment requirements or instructions imposed by the venue, car park operator or local authority.

7. Space Allocation & Late Arrivals
•    Exhibitor placement is determined by Spire Wedding Fayres based on the event layout, practical requirements and overall supplier mix.
•    Stand location requests may be considered but cannot be guaranteed unless specifically agreed as part of the booking.
•    Exhibitors should not assume they will receive the same position at subsequent events.
•    If an exhibitor arrives after the stated set-up period without prior agreement, their original space may be reallocated where necessary for the safe or effective running of the event.
•    Where an alternative space can be offered, it may differ in size or location.
•    No refund will be provided solely because of a stand location or a necessary change to the event layout.

8. Supplier Categories & Event Balance
Spire Wedding Fayres aims to provide couples with a varied and balanced selection of wedding suppliers.
We may therefore limit the number of exhibitors offering the same or similar products or services.
However, unless expressly agreed in writing as part of a specific package, sponsorship agreement or booking, exhibitor bookings do not provide category exclusivity.
This means another business attending the same event may offer products or services which are the same as, similar to, or overlap with those offered by another exhibitor.
The number and mix of suppliers attending an event remains at the discretion of Spire Wedding Fayres.

9. Exhibitor Stands, Other Businesses & Prohibited Activities
Each exhibitor booking or complimentary stand is for one business only.
Two or more separate businesses may not share a single exhibitor stand, regardless of whether the business owners are friends, family members, work collaboratively, are newly established, are helping one another, or otherwise have a personal or professional relationship.
If two separate businesses wish to exhibit or promote their respective businesses at the same event, each business must have its own booked exhibitor space. Where applicable, the appropriate stand fee must be paid by each business.
An individual may assist an exhibitor in staffing their stand without purchasing a separate space, provided they are there solely to represent the business that made the booking and are not promoting their own separate business, products or services.
Business cards, flyers, QR codes, banners, promotional material or other advertising for a separate business must not be displayed or distributed from another exhibitor's stand without prior written agreement from Spire Wedding Fayres.
Collaborative packages or businesses legitimately trading together under one business/brand may be considered individually and must be declared to and approved by Spire Wedding Fayres before booking or attending.
Exhibitors must not:
•    Promote or advertise another business that has not booked the event without prior written permission from Spire Wedding Fayres.
•    Share, sell, sub-let or give any part of their allocated stand to another business.
•    Bring another business along to exhibit or promote its services from their stand because that business is a friend, colleague, associate or new/start-up business.
•    Distribute flyers or promotional materials around the venue away from their allocated stand unless agreed with us.
•    Use hazardous materials, open flames or unapproved electrical equipment.
•    Obstruct walkways, exits or neighbouring exhibitor spaces.
•    Behave in a way that we reasonably consider unsafe, abusive, seriously unprofessional or disruptive to the event.
Where an undeclared or unbooked business is found to be promoting from an exhibitor's stand, Spire Wedding Fayres may require that business and its promotional materials to be removed.
We reserve the right to require prohibited activity to stop and, where necessary, remove an exhibitor from the event without refund and/or apply future booking restrictions in accordance with Section 10.
10. Future Booking Restrictions
Spire Wedding Fayres values reliable, professional and respectful relationships with its exhibitors. We also understand that genuine emergencies, illness and exceptional circumstances can occur, and these will be considered individually.
However, where an exhibitor:
•    Seriously breaches these Terms & Conditions.
•    Repeatedly fails to comply with event requirements.
•    Fails to attend without reasonable notice or explanation.
•    Fails to communicate appropriately.
•    Leaves or packs away from an event early without permission.
•    Brings or promotes an undeclared business.
•    Fails to comply with payment obligations.
•    Behaves abusively, aggressively, disrespectfully or unprofessionally towards Spire Wedding Fayres, venue staff, visitors or other exhibitors.
•    Deliberately creates conflict or disruption between exhibitors.
•    Spreads malicious or knowingly false information about Spire Wedding Fayres, a venue, its staff or another exhibitor.
•    Otherwise acts in a way that significantly affects the organisation, reputation, safety or professional running of an event.
Spire Wedding Fayres reserves the right to refuse future bookings from that exhibitor or business.
This may include:
•    Declining future booking requests.
•    Declining future complimentary stand opportunities.
•    Removing the supplier from future exhibitor invitations or opportunities.
•    Refusing to accept the supplier at some or all future Spire Wedding Fayres events.
•    Cancelling future bookings where permitted under the applicable booking terms and circumstances.
Any decision to restrict future bookings will be made at the discretion of Spire Wedding Fayres and will take into consideration the individual circumstances, seriousness of the breach, communication received, any reasonable explanation provided and the exhibitor's previous history with us.
A genuine emergency, illness or exceptional circumstance will not automatically result in an exhibitor being refused future bookings.
Where an exhibitor has made reasonable efforts to communicate an unexpected issue and has acted responsibly in the circumstances, this will be taken into consideration.
We encourage exhibitors to raise genuine concerns with us. A legitimate complaint, disagreement or honest feedback will not, by itself, result in a supplier being refused future bookings.
Where Spire Wedding Fayres determines that it no longer wishes to accept future bookings from a particular exhibitor or business following a serious or repeated breach of these Terms & Conditions, we are under no obligation to offer or accept future bookings from that supplier, subject to any applicable legal obligations.

11. Photography, Media & Content
Photography and video will be captured during our events for promotional and marketing purposes.
By attending or exhibiting, you acknowledge that general event photography and video may include you, members of your team or your exhibition stand.
Where reasonably possible, anyone who does not wish to feature prominently within our promotional content should inform Spire Wedding Fayres before the event or speak to a member of the team on the day.
Exhibitors providing us with logos, photographs, videos or other promotional material confirm that they have the necessary rights or permission for us to use that material in connection with promoting the exhibitor and/or event.
12. Liability, Insurance & Parking
•    Exhibitors are responsible for their own equipment, displays, products, personal belongings and stock.
•    Exhibitors must maintain adequate Public Liability Insurance appropriate to their business and activities.
•    Spire Wedding Fayres is not responsible for loss, theft or damage to an exhibitor's property except where liability cannot legally be excluded.
•    Exhibitors are responsible for injury, damage or loss arising from their own negligence, equipment, activities or failure to comply with venue or event requirements.
•    Spire Wedding Fayres is not responsible for indirect financial loss, loss of sales, loss of bookings or loss of earnings resulting from event changes, disruption or circumstances outside our reasonable control.
•    Exhibitors are responsible for checking and complying with all parking restrictions, charges, time limits, vehicle registration requirements and other parking instructions applicable at the venue.
•    Where a venue requires exhibitors to register their vehicle, enter their registration details, obtain a permit, validate parking or make payment, it is the exhibitor's responsibility to ensure this has been completed correctly.
•    Spire Wedding Fayres accepts no responsibility for parking charges, parking fines, Penalty Charge Notices or other charges issued by a venue, private parking operator, local authority or other third party.
•    Providing exhibitors with parking information or instructions as part of our event communication does not transfer responsibility for compliance to Spire Wedding Fayres.
•    Nothing within these Terms & Conditions excludes or limits liability where it would be unlawful to do so.

13. Event Attendance & Results
While Spire Wedding Fayres actively promotes its events, we cannot guarantee:
•    A specific number of visitors or couples attending.
•    A particular level of footfall.
•    Enquiries, leads or bookings for an exhibitor.
•    Sales or financial return resulting from attendance.
•    The attendance of any particular supplier, business or attraction advertised before the event.
Visitor numbers can be affected by circumstances outside our control, and exhibitor fees are for the opportunity to exhibit at the event rather than a guarantee of commercial results.

14. Data Protection
We process personal data in accordance with UK data protection legislation, including UK GDPR.

16. Changes to These Terms
Spire Wedding Fayres may update these Terms & Conditions from time to time.
Any updated version will be published with a revised “Last updated” date.
Unless otherwise agreed or required by law, an exhibitor booking will be governed by the Terms & Conditions applicable at the time that booking was made or agreed.
Any material change affecting an existing confirmed booking will be communicated where appropriate.
