By booking an exhibitor space, registering to attend one of our events, or submitting a venue enquiry, you agree to the Terms & Conditions outlined below. Please read them carefully before making a booking.
1. Who We Are

We organise wedding fayres and exhibition events across the UK.
2. Definitions
“Exhibitor” – A supplier or business booking a space at one of our wedding fayres.
“Guest/Attendee” – A member of the public attending a fayre.
“Venue” – The location hosting the event.
“Event/Fayre” – The wedding fayre taking place on the specified date.
“Organiser/We/Us” – Spire Wedding Fayres.
3. Booking & Payment
Exhibitor Bookings

All exhibitor spaces must be booked through our website via the Wix booking system.

Payment is required in full at the time of booking through Wix Payments.

A booking is considered confirmed once payment is received and a confirmation email is sent.

We reserve the right to accept or refuse any booking.
Guest Registration
-
Registration to attend is free unless otherwise stated.
-
Attendees must provide accurate details when registering.
Venue Enquiries
-
Venue enquiries do not constitute a contract.
-
Any agreement to host a fayre will be confirmed separately in writing.
4. Exhibitor Requirements & Conduct
By booking with us, exhibitors agree to:

Operate a legitimate, insured business and provide proof of Public Liability Insurance on request.

Arrive within the designated set-up time and avoid packing away before the official end of the fayre.

Ensure displays stay within the allocated space and do not obstruct walkways.
-
Comply with all venue health and safety policies.
-
Only promote goods or services that were declared on their booking form.
-
Use safe, stable, and compliant electrical equipment (PAT testing where required).
Failure to follow these requirements may result in removal from the event without refund.
5. What’s Included for Exhibitors
Exhibitor bookings typically include:

A stand or table as described in your booking.
-
Pre-event communication and support.
-
Promotion on social media where possible.
-
Access to exhibitor support groups where applicable.
-
Complimentary refreshments where available.
-
Priority opportunities to book future events.
Additional services such as event photography or content creation may be available at selected events only.
6. Cancellations, Transfers & Refunds
6.1 Exhibitor Cancellation Policy (Final Agreed Wording)
By confirming your space at our wedding fayre, you are committing to attend and exhibit on the agreed date. All bookings are non-refundable and non-transferable. Once confirmed, invoices must be paid in full to secure your stand.
If you cancel after booking, the full invoice amount will still be payable. This is because your space is reserved exclusively for you from the moment your booking is accepted. We strictly limit the number of exhibitors per category to ensure a balanced fayre, meaning other suppliers in your category are turned away once your place is confirmed.
For this reason, your fee remains due regardless of attendance, and your space cannot be re-sold or reassigned without our express permission.
6.2 Transfers

Transfers to another event may be requested but are not guaranteed.

Transfers may only be approved at our discretion and subject to space availability.

Transfer requests must be made via email.
6.3 Event Cancellations by the Organiser
If we must cancel an event due to unforeseen circumstances (e.g., venue issues, weather, safety, illness or other operational reasons), we will:

Offer to transfer your booking to another suitable date or venue, or
-
Offer a refund where a transfer is not possible.
We are not liable for any additional costs incurred (travel, accommodation, printing, loss of earnings).
7. Space Allocation & Late Arrivals

Exhibitor placement is allocated by us based on event layout and category balance.
-
While preferences may be considered, final stand placement is at our discretion.
-
If an exhibitor arrives late, their original space may be reallocated without refund.
-
If a late space is offered, it may differ in size or location.
8. Category Limits
To ensure a fair and balanced fayre experience:
-
We limit the number of exhibitors in each category (for example: cake makers, photographers, florists, etc.).
-
Once your category is full, additional suppliers are turned away.
-
This category protection is one of the reasons bookings are non-refundable — your confirmed space prevents others from booking.
9. Prohibited Activities
Exhibitors may not:
-
Promote third-party businesses or unrelated services without prior approval.
-
Hand out flyers or promotional material away from their stand unless agreed.
-
Use hazardous materials, open flames, or unapproved electrical equipment.
-
Behave in any way deemed unsafe, unprofessional, or disruptive.
We reserve the right to remove any exhibitor or attendee who breaches these terms.
10. Photography, Media & Content Usage

Photos and videos may be taken at events for marketing purposes.
-
By attending or exhibiting, you grant us permission to use imagery featuring you or your stand.
-
If you do not wish to be photographed, you must inform us before the event.
-
Exhibitors must ensure they have legal rights to any media submitted to us (logos, images, promotional materials).
11. Liability & Insurance

Exhibitors are responsible for their own equipment, displays and stock.
-
We do not accept liability for damage, loss or theft.
-
Exhibitors must hold adequate Public Liability Insurance.
-
We are not liable for injury, accidents or losses caused by exhibitor negligence or breach of venue rules.
-
We are not liable for financial loss in the event of cancellations, changes or unforeseen disruptions.
12. Data Protection
We process personal data in accordance with UK GDPR.
